How TDO CRM collects, uses, and protects business data.

This Privacy Policy explains how the TDO CRM web platform and Android app handle data for lead management, business calling, mobile sync, reports, follow-ups, productivity monitoring, and team administration.

1. Overview

TDO CRM is a business CRM platform used by companies, managers, team leaders, and executives to manage leads, customer communication, call activity, reports, and productivity. The platform is intended for authorized business users. It processes data to provide CRM, calling, reporting, monitoring, team-management, security, and support features.

2. Data we collect

Depending on the app build, user role, company settings, and features enabled by your company, TDO CRM may collect and process the following data:

  • Account and profile data: name, email address, phone number, role, company, team leader or manager assignment, login status, account permissions, and support/access status.
  • Lead, customer, and contact data: lead name, customer phone number, saved contact name/number when contact access is enabled, company, source, status, priority, notes, assigned owner, and follow-up details.
  • Call activity data: business call events, call status, phone number, call direction, start time, end time, dial duration, talk duration, disconnect reason, missed call status, SIM label where available, and sync identifiers needed to match a call with a CRM record.
  • Mobile app sync data: device UUID or device token, app activity heartbeat, login sessions, active/idle state, foreground time, live-call signals, notification state, and token-based app access status.
  • Communication data: WhatsApp/content-sharing activity, message status, shared content references, and related lead/customer records where those features are enabled.
  • Reports and productivity data: call count, connected calls, missed calls, screen time, talk time, active work time, idle time, productivity score, and day-wise summaries.
  • Technical and security data: IP address, browser/device information, API events, audit logs, session details, and error/security records needed to protect the platform.

3. Why we collect this data

TDO CRM uses collected data for the following business purposes:

  • To provide CRM login, user roles, permissions, and secure access.
  • To assign, manage, update, and track leads and customer follow-ups.
  • To sync mobile call activity with the web CRM and create accurate call history.
  • To help managers monitor active, connected, idle, not-connected, and deactivated users.
  • To generate reports such as call count, connected ratio, screen time, talk time, missed calls, and productivity score.
  • To detect duplicate leads and reduce repeated customer calling.
  • To provide WhatsApp, content-sharing, alert, and audit features.
  • To troubleshoot, secure, maintain, and improve the CRM platform.

4. Google Play Data Safety summary

The Google Play Data Safety form for TDO CRM should match this policy and the exact Android app build being published. TDO CRM may collect the following categories for business CRM functionality:

  • Personal info: user name, email address, phone number, company, role, and account access details.
  • Contacts/customer information: CRM lead/customer phone numbers and, when permission is granted, saved contact names or numbers used for matching/search.
  • App activity: login/session activity, active or idle state, screen visibility, sync status, feature usage, and productivity/reporting events.
  • Device or other identifiers: device UUID, device token, and technical identifiers used for secure sync, troubleshooting, and app access control.
  • Messages and communications: WhatsApp/content-sharing events and communication status where enabled.
  • Call-related data: business call events, call status, dial/talk duration, missed call status, and phone numbers needed for CRM call history.

TDO CRM does not sell user or customer data and is not designed to use customer CRM data for third-party advertising.

5. Mobile app permissions

The TDO CRM Android app may request permissions needed for business calling, lead lookup, notifications, and activity sync. Android permission prompts are shown by the device, and permissions should be granted only by authorized company users.

  • Phone permissions: used to start business calls, detect call state, support the in-call screen, and sync CRM call events.
  • Contacts permission: used to match saved contact names or numbers with CRM history/search where enabled by the user.
  • Notifications: used to show call, follow-up, or CRM activity alerts.
  • Foreground/background service permissions: used to keep call-status sync, live status, and session heartbeat working where supported by Android.
  • Restricted permissions in business builds: call-log reading, microphone/call recording, or media-audio access may be included only in non-Play business builds or approved feature builds where the company has enabled that functionality and the user grants permission.

6. Data sharing

TDO CRM does not sell user or customer data. Data is shown only to authorized users inside the same business/company scope, such as admins, managers, team leaders, support users, or executives with permission. Data may be processed by trusted service providers only when required for hosting, database operation, security, maintenance, legal compliance, or authorized business support.

7. Security measures

TDO CRM uses access controls, role-based permissions, session protection, token-based mobile access, audit logs, HTTPS enforcement where configured, and administrative controls such as app access reset and soft-delete recovery. Local app data is kept only as needed for sync and user experience. No system can guarantee absolute security, but we work to protect business data from unauthorized access, misuse, or accidental loss.

8. Data retention

Business data such as leads, call history, reports, messages, productivity records, and audit records may be retained as long as needed for CRM operations, compliance, dispute resolution, security, reporting, and company records. Daily reports may reset at midnight for productivity calculation, while historical call and audit records may remain available for business reporting. Account data may be deactivated, soft deleted, restored, or permanently deleted by authorized admins according to company policy.

9. Account and data deletion requests

TDO CRM accounts are usually created and managed by a company administrator for employees or business users. Users can request account deactivation, data correction, or data deletion through their company admin or directly through TDO CRM support.

  • Send a request to support@tdocrm.com with the subject TDO CRM Data Deletion Request.
  • Include your name, login email, phone number, company name, and whether you want account deletion, account deactivation, or correction of specific data.
  • We may verify the request with the company administrator before deleting business CRM records that belong to a company workspace.
  • After approval and verification, we aim to respond within 30 days and delete or de-identify eligible personal data unless retention is required for security, legal, audit, billing, dispute, or legitimate business record purposes.
  • Authorized admins may also deactivate, soft delete, restore, or permanently delete accounts from the CRM dashboard according to company policy.

10. User choices and admin controls

Users may contact their company admin to update account details, reset mobile app access, revoke device access, correct lead or contact information, or request account deactivation. Users can also manage Android permissions from device settings. Admins may manage permissions, assigned teams, company access, lead ownership, and soft-deleted accounts from the CRM dashboard.

11. Children's privacy

TDO CRM is intended for business use by authorized employees and company users. It is not intended for children or personal consumer use.

12. Changes to this policy

We may update this Privacy Policy when product features, security practices, legal requirements, or business processes change. The updated date at the top of this page shows the latest version.
